Who we are

Maggie & Rose (we, us, our) is Britain’s pioneering private family members’ club.  Our legal name is Maggie & Rose Ltd.  We are registered with the Information Commissioner’s Office.

What personal information do we collect?

If individuals within a family are members of our club, we collect the following personal information about all users of the club under the family membership:

  • Your basic personal information (for example, names, ages, relationship to other family members).

  • Contact information (for example, address, email address and phone numbers).

  • Financial details of the lead member (for example, details about any payments you have made to us and where necessary your bank details).

  • Information about how you use our club (for example, past birthday bookings, classes or camps attended and your purchases).

  • Correspondence we have had with you.

 

Where necessary we will also collect information about the things you can and can’t eat and any allergies or medical conditions you have.

Some times there are photographers at our clubs, but we are very careful to only take photos of people who want their photo to be taken and have given consent.  We also ensure everyone knows when a photographer is in the club.

People who book or attend parties, camps or events at our club

If you book a party, camp or event at one of our clubs, we will collect your name and contact details.  We also keep details about what type of event it was (for example, whether it was someone’s birthday) and correspondence with you.  Where necessary we will also collect information about the things you can and can’t eat and any allergies or medical conditions you have.

Guests

When guests attend our clubs, we ask for their names.  We also ask whether guests would like to provide contact information to join our newsletter and keep up to date with events, products, promotions and other news.

Prospective members and enquiries

If you are interested in joining our club or in booking a party, camp or event, we will collect your name, contact details, other details relevant to the event (for example, children’s names and dates of birth and any correspondence we have with you).

How we collect information

We collect your personal information from:

  • Membership enquiry or application forms and supporting information.

  • Bank payments.

  • Enquiries for bookings for parties, events, classes and camps.

  • Dietary, allergy and medical condition forms.

  • Photography (only with consent).

  • Facebook.

People who book or attend parties or events

We collect personal information when you first make a booking and any information you provide us during your time at the club.  We may request that a guest list is provided to us prior to the event. We collect this information in person, over the telephone, by email, through our reception team or by our web forms.

We collect personal information from guests on entry to our club 

Prospective members and enquiries
 

If you are interested in joining our club or nursery or in booking an event, we will collect your name and contact details when you contact us.  We collect this information by telephone, email or our web forms. We also collect information from people who complete the forms we have placed on Facebook adverts.

What we use your personal information for

We mainly use your personal information to make sure our club runs smoothly and everyone has a brilliant time.  But we also use your personal information to:

  • Book your events, camps, parties or classes.

  • Provide you with information about and keep you up to date with your events, camps, classes and other important news.

  • Support and manage our staff.

  • Fulfil our legal obligations (for example, providing information to regulators).

  • Exercise our legal rights (including legal proceedings).

  • Place adverts on Facebook.

  • With your consent, we will use your personal information in promotional material.

  • If you sign up to our newsletter, we will also keep you up to date with our other products and events.

  • If you sign up, we will also send you our Alumni newsletter.

People who book or attend parties or events

If you book a party, event or camp at our club, we will use your personal information to organise the event, secure your place and make sure everyone has a great time.  If you sign up to our newsletter, we will also keep you up to date with our news, promotions, other products and events.

Guests

We use your personal information to keep a record of who has attended the club and on what date.  If you sign up to our newsletter, we will also keep you up to date with our news, promotions, other products and events.

Prospective members and enquiries

We use your personal information to provide you with information about our club, parties, camps, promotions and events.  If you sign up to our newsletter, we will also keep you up to date with our products and events.

Legal grounds for processing your personal information
Club members

Our main legal ground for processing your personal information is that it is necessary for our membership contract with you and your family.  If you do not provide us with personal information, we may not be able to perform our obligations to you under our contract with you or it could lead to a delay in us providing you with services.

Importantly, we will always obtain your consent before we:

  • Keep information about what you can and can’t eat, allergies and medical conditions.

  • Take photographs of you.

  • Use your personal information in promotional material.

  • Add you to our newsletter.

Any use of your personal information which is not based on your consent or necessary for the contract we have with you will be for the purposes of the legitimate interests of our business.  We will always consider your rights and your privacy before using your personal information for the purposes of our business.  Where your rights or privacy overrides our business interests, we will not use your personal information.

Separately from our contract with you and our business, we will also use your personal information where we have a legal obligation to do so.  For example, if we have to provide a regulator or local authority with your personal information.  In very limited situations we may also use your personal information to exercise our legal rights (including in relation to legal proceedings).

Sharing your personal information

The following organisations handle and store information on our behalf:

  • MailChimp – mailing list service.

  • Microsoft – computer services.

  • Text marketer – text marketing

  • GoCardless – Direct debit processing.

  • Hubspot  - records management

We have agreements in place so that these organisations only handle personal information as we have instructed them to.  They are not able to make any other use of your personal information (except where required by law).

We also share information with Facebook for custom audiences and personalised advertising.

Where necessary we share personal information with public bodies such as Ofsted, the local authority, the police and the Department of Education.

Transferring information outside the European Economic Area

Some of the organisations which handle personal information on our behalf are based outside of the European Economic Area (EEA). When we send your personal information outside of the EEA to a country not recognised as providing appropriate protections, we put in place appropriate contracts, group agreements or other safeguards to ensure your rights are protected.

We also have a Maggie & Rose club in Hong Kong.  We will only send personal information to our club in Hong Kong with your consent and where appropriate safeguards for your rights are in place.

How long do we keep your information.

Club members

We hold your personal information for five years after you have stopped being a member.

If you join the Maggie & Rose Alumni or our newsletter, we keep your contact information until you unsubscribe so we can stay in touch.

People who book or attend parties or events

We keep your personal information for three years after you booked or attended a party, camp or event.

Website users
Introduction

If you use our website we will keep a temporary record of your IP address.  We also use cookies and take part in Google Analytics to monitor and analyse web traffic and to keep track of user behaviour on our site.

Google Analytics is a web analysis service provided by Google Inc. (Google)).  Google uses the data collected to track and examine the use of this site, to prepare reports on the site’s activities and to share them with other Google services.  The information collected is: cookie and usage data. Guest Wi-Fi

When you register to use our guest Wi-Fi in our club, we ask you for your name and email address. Our legal ground for processing your personal information for our guest Wi-Fi is for the legitimate interests of our business.  We also offer you the option to join our newsletter when you use our guest Wi-Fi.  Splash Access provides our guest Wi-Fi on our behalf.  Consequently, Splash Access will have access to your name and email address.  We retain your name and email address for two years from the date you last use our guest Wi-Fi.
